Why You'll Love This Role: Our Alarms team is one of the fastest growing parts of our business, and this role is its operational backbone. You'll keep complex, time-sensitive fire alarm projects organized and moving: coordinating schedules, managing permits and documentation, and serving as the communication hub between our technicians, designers, customers, and the authorities having jurisdiction (AHJs). Along the way, you'll build real fluency in how fire alarm systems are designed, permitted, installed, and tested.

This isn't a dead-end admin job. It's a launchpad, and where it launches you is up to you.

Where This Role Can Take You:
We're intentionally hiring for potential. Depending on your interests and aptitude, this role can grow in either of two directions:
  • Alarm Design Track: If you hold (or are working toward) a Washington 06 Limited Energy license and want to move off the tools and into design, this role gives you daily exposure to fire alarm drawings, submittals, device layouts, and NFPA 72 requirements. We'll support your development toward a Fire Alarm Designer role, including NICET certification prep.
  • Project / Program Management Track: If you thrive on coordination, scheduling, budgets, and customer relationships, this role builds directly toward an Alarms Project Manager position:  owning projects end-to-end from proposal through final acceptance testing, and eventually managing programs across multiple customers or jurisdictions.

Either way, you'll have a manager who is invested in your growth and a clear picture of what advancement looks like.

What You'll Do:
  • Scheduling and Coordination: Manage and optimize schedules for alarm technicians and inspectors, ensuring efficient resource allocation and timely project execution while staying flexible for urgent customer requests and changing priorities
  • Permits and AHJ Coordination: Prepare, submit, and track fire alarm permit applications; schedule inspections and acceptance tests with local jurisdictions; keep project documentation audit-ready
  • Support Operations: Own back-office functions for the Alarms team including answering phones for urgent customer needs, drafting communications, preparing work orders, and assembling closeout packages
  • Liaison: Serve as the communication hub between field personnel, designers, customers, general contractors, and government agencies
  • Data Management: Build, process, and organize reports and tracking systems for alarm installation, testing, and monitoring work
  • Systems Expert: Develop proficiency in Google Drive and our construction software (Viewpoint/Spectrum); help the team use these tools better
  • Collaboration: Work alongside a close-knit team to manage daily operations while continually finding ways to improve process efficiency

What We're Looking For:
  • Education: High School Diploma or GED
  • Experience: 2+ years of administrative, coordination, or fire alarm field experience
  • Technical Skills: Proficiency with Microsoft Suite (particularly Excel) and Google Suite (particularly GSheets)
  • Attention to Detail: A keen eye for detail and the capacity to maintain accuracy in repetitive, compliance-driven tasks
  • Process-driven: Affinity for developing and maintaining standardized, multi-step processes with rigorous follow-up
  • Organized: Ability to prioritize effectively, manage multiple projects simultaneously, and meet deadlines consistently
  • Strong Pluses (not required): Washington 06 Limited Energy Electrician license; experience with fire alarm systems, low-voltage work, or commercial construction; familiarity with NFPA 72 or NICET certification (or interest in pursuing it)
  • Availability: Full-time availability (40 hours per week, 7am start time)
  • Compliance: Drug screening and background checks will only be conducted after a conditional job offer is made. We evaluate criminal history based on its relevance to the job duties
